Moving Stock with a Pick

Purpose

Every time a moped leaves a place, we need to know where it went, when, and who moved it — that’s what lets us answer “where is this bike?” without phoning around. A pick in the warehouse app is that record. This procedure makes sure every move, from a Rockdale truck run to a bike taken to an event, is planned in the app, sent to the 3PL in our standard format, and confirmed on arrival.

Procedure

    A[Stock needs to move] --> B{Collecting from Rockdale?}
    B -- Yes --> C[Create pick, email Tom, Mark sent to 3PL]
    B -- No --> D[Create pick, print run sheet]
    C --> E[Collected - Mark picked up]
    D --> E
    E --> F{Same bikes as planned?}
    F -- No --> G[Untick planned VIN, add the one received]
    F -- Yes --> H[Bikes are In transit]
    G --> H
    H --> I[Mark each stop received or delivered]
  1. In the warehouse app, go to Stock, choose the place the bikes are at under Show, and tick the bikes that need to move.
  2. Click Create pick / transfer.
  3. Set the Pick-up date and Collected by.
  4. Set Ticked mopeds go to for where most of them are going. Change any single bike that’s going somewhere else in its own row. Use + New place… for an event or other one-off location.
  5. If a confirmed order’s bikes are at the same place, add it under Orders to deliver so the same trip delivers it.
  6. Add any battery cartons or parts going on the same trip under Batteries & parts.
  7. Click Create pick.
  8. Collecting from Rockdale: click Open in Outlook on the pick, check the email and send it to Tom. Then click Mark sent to 3PL. Do not rewrite the email by hand — it’s already in our pick format, with each bike’s row and level so Tom can find it.
  9. Collecting from Lilyfield or an event: Print the run sheet for whoever is driving.
  10. When the bikes are collected, click Mark picked up and set the date. If a different bike was handed over, untick the planned one and add the VIN that actually came off the shelf. Any dealer order on the pick is now Dispatched and the dealer is emailed automatically — so do this on the day it actually leaves.
  11. When they arrive, click Mark received (our places, dealer drop-offs) or Mark delivered (orders) on each stop, with the date it actually happened. Delivering a dealer order emails the dealer.
  12. Check the pick shows Completed. If a stop can’t be completed (a bike didn’t arrive), leave it open and tell Bodhi.

Responsibilities

Who Does what
Whoever needs the stock moved Creates the pick and sends the email or prints the run sheet
Tom (3PL, Rockdale) Picks the bikes and confirms what was handed over
Driver Checks the last 5 of each VIN against the pick before loading
Whoever receives the bikes Marks the stop received/delivered on the day

Notes

  • One pick = one collection point. Bikes at Rockdale and bikes at Lilyfield are two picks.
  • Use a pick, not Quick move, for anything that goes on a truck or to a dealer or customer. Quick move is only for a move that’s already happened on site without a trip.
  • A bike dropped at a dealer without an order is still ours — it becomes Consignment. A bike delivered on an order is sold — unless it’s a consignment order, which also leaves it Consignment at the dealer.
  • When bikes land somewhere new, their row and level are cleared. If they’re stacked at Rockdale, set them again with Set row / level.
  • Record the date things actually happened, not the date you got round to updating the app.
  • Customer home deliveries also need the customer run sheet — see Preparing a Run Sheet for a Sydney Delivery.
  • Manual: 5 · Picks and Transfers in the Warehouse App Manual.
