8 · The Dealer Portal — What Dealers See

Updated 15 October 2026

Each dealership gets its own login to the same app. They only ever see their own records. They never see stock counts, costs or prices. Models we’ve marked Hidden from dealers (e.g. the staff-only Display model) don’t appear in their portal at all.

Their menu

Page What they see / do What happens our side
Stock availability Each model and colour marked ready to ship, a few left, next container or ask us for timing — no numbers —
Request an order Choose model, colour and quantity (and add more models), plus their name and an optional note. It’s a request, not a checkout A draft order in Orders → Dealer requests, counted on the dashboard, and an email to the staff list
My orders Their requests and orders with status Updates as we confirm, dispatch and deliver — and they get an email at each of those steps
My units & warranty Every moped we’ve delivered to them. Record sale for each retail sale: customer name, phone, email, plate, sale date Fills in the owner on that moped’s page so warranty claims can be checked by VIN

The portal tells dealers we confirm pricing, VIN and delivery within 1 business day of a request — so dealer requests need checking every business day.

Setting a dealer up

Admin only:

  1. Make sure the dealer exists under Dealers, with contact and delivery address.
  2. Users → + Invite user, role Dealer, choose the dealership, enter their email.
  3. Send them the invite link. One login per dealership.

Helping a dealer

  • “I can’t log in” — admin sends a reset link from Users.
  • “I don’t see a bike I bought” — it only appears under My units once the order is marked Delivered in the app. Check the pick or order. Bikes they hold on consignment don’t appear there until they’re sold to them on a normal order.
  • “I didn’t get the email” — check the order’s Activity panel: it shows the address it went to, or why it failed. Fix the contact email on the order (or the dealer’s email under Dealers).
  • Logging in — dealers use the same address as staff. Invite links, password rules, lock-outs and resets work the same way — see 1 · Getting Started.
  • “Can I see how many you have?” — no, by design. Availability only.
