1 · Getting Started — Logging In and Finding Your Way

Updated 15 October 2026

The ROLL’N Warehouse app is where we track every moped we own, by VIN — from the moment it’s on the water, through Rockdale and Lilyfield, onto the truck, and out to a dealer or customer. It also holds our orders, picks (stock movements), batteries and parts, and the dealer portal.

It replaced the Master stock spreadsheet and the Odoo plan in October 2026. If it isn’t in the app, it didn’t happen — every move, sale and status change gets recorded here so everyone sees the same stock.

Address: rolln-warehouse.bodhi-877.workers.dev — bookmark it. Works on a laptop or a phone.

Getting your login

  1. Bodhi creates your account and sends you an invite link. It works once and expires after 7 days. If it’s expired, ask for a new one.
  2. Open the link and choose a password — at least 10 characters. You’re logged in straight away.
  3. From then on, go to the address above and log in with your work email and that password.

Staying logged in: you stay logged in on that device for two weeks, and every time you use the app the two weeks start again — so if you use it regularly you rarely need to log in. On a shared or borrowed computer, always Sign out when you’re done.

Signing out: at the bottom of the menu, under your name, click Sign out.

Changing your password: at the bottom of the menu, under your name, click Password. Enter your current password and the new one (at least 10 characters), then Update password. This signs you out on every other device — handy if you think someone else knows it.

Forgot your password? Ask Bodhi for a reset link (from the Users page). It works like the invite: once, for 7 days, and you choose a new password. Nobody — including Bodhi — can see your password.

“Too many attempts”: after 8 wrong passwords in 15 minutes the app stops accepting tries for that email. Wait 15 minutes and try again, or ask Bodhi for a reset link. “Email or password is incorrect” means just that — check for a typo or caps lock.

Left the business? Bodhi unticks Active on your account and your login stops working immediately, on every device.

Who can do what

Role Who Can
Admin Bodhi Everything, plus Users, Dealers and Settings
Staff Emma, Jason Stock, shipments, picks, orders, batteries & parts, activity log
Dealer One login per dealership Their own portal only — stock availability (no counts or prices), request an order, their orders, their units & warranty. They log in at the same address

Emails the app sends

Once email is switched on (Settings → Email notifications), the app sends these by itself — nobody has to remember to:

When Who gets it
A dealer sends an order request from the portal The staff email list in Settings (reply goes straight to the dealer)
A dealer’s order is confirmed The dealer (order contact, plus the dealership’s main email if different)
A dealer’s order is dispatched (its pick is marked picked up) The dealer — with carrier and tracking if entered on the order
A dealer’s order is delivered The dealer — with the VINs

Direct customers don’t get emails from the app. Every email sent — or one that failed — shows in that order’s Activity panel. Pick emails to Tom are still sent by you (see 5 · Picks and Transfers).

The menu

Menu item What it’s for
Dashboard The overview — what’s available, on the water, in transit, reserved, dealer requests, rego due
Stock Every moped by VIN. Search, filter, and tick mopeds to move them or put them on a pick
Shipments Containers from the factory, and Shipment intake for loading a packing list
Picks Every time stock leaves a place — Rockdale → Lilyfield, out to an event, to a dealer or customer
Orders Dealer and direct-customer orders, from draft to delivered
Batteries & parts Counted stock of batteries and parts, by location
Activity log Every change anyone has made, and who made it
Dealers / Users / Settings Admin only — see 9 · Admin

A number next to Picks or Orders means something is waiting on you (open picks, new dealer requests).

Three ideas that make everything else make sense

  • Every moped is one row, identified by its VIN. You can find any bike by typing the last 5 characters of its VIN, its engine number, its number plate or the owner’s name into the Stock search.
  • Status and location are separate. Status is the commercial state — Available, Reserved, Sold, Demo, Rental, Consignment, Service, Written off. Location is where it physically is — On the water, Rockdale 3PL, Lilyfield, an event, In transit, a dealer, Delivered to customer. A demo bike at Lilyfield is status Demo, location Lilyfield.
  • Stock moves on picks, sales go through orders. Don’t just change a location to say a bike went somewhere — put it on a pick so the trip is logged. Don’t mark a bike Sold by hand — the order does that when it’s delivered.

If something looks wrong

  • The page tells you what’s wrong in a red message at the bottom of the screen. Read it — it usually says exactly what to fix.
  • If the app reloads by itself after a while, that’s normal: it picks up the latest version after an update.
  • Anything you can’t fix, tell Bodhi with the VIN, order or pick number. The Activity log shows who changed what, so nothing is lost.
