5 · Picks and Transfers — Moving Stock
Updated 15 October 2026
A pick is one collection from one place. Every time stock leaves a place — Rockdale → Lilyfield, Lilyfield → an event, out to a dealer or customer — it goes on a pick. That’s how each bike’s trail and the “who moved it” record get built.
The rules
- A pick collects from one place: Rockdale, Lilyfield, an event, or a dealer (for returns).
- Each moped can go somewhere different. One pick can drop three bikes at Lilyfield and deliver one to a customer.
- A moped’s destination can be:
- one of our places (Lilyfield, an event…) — still ours, status unchanged
- a dealer drop-off with no order — still our stock, becomes Consignment (display, loan)
- an order — delivered = sold (or, for a consignment order, delivered to the dealer as Consignment — still ours)
- + New place… — create one on the spot (an event, a photo shoot, a workshop)
Pick statuses
Draft → Sent to 3PL → Picked up (bikes move to In transit) → each stop Received or Delivered → Completed.
Picks from our own sites (Lilyfield, an event) skip “Sent to 3PL”.
Creating a pick
- Either tick bikes on the Stock page → Create pick / transfer, or go to Picks → + New pick, or from an order click Create pick.
- Set Collect from, the Pick-up date and Collected by (our truck, 3PL, courier…).
- Under Orders to deliver, click Add to this pick on any confirmed order whose bikes are at that place.
- Tick the mopeds you’re taking. Set Ticked mopeds go to for the default destination, then change any individual bike’s destination in its row.
- Add Batteries & parts lines if they’re going too (e.g. battery cartons), each with its destination.
- Click Create pick. You can still change everything — including where it collects from — while it’s a draft (Edit).
Telling the 3PL (Rockdale picks)
The pick page shows the Email to Tom, already written in our pick format and grouped by stop with addresses. Each bike’s row and level is printed next to its VIN, in the order to take them out (front row first, top level down).
- Click Open in Outlook (or Copy and paste into an email, or Mail app).
- Send it.
- Back on the pick, click Mark sent to 3PL.
Picks from our own sites show a Run sheet instead, with a Print button.
When it’s collected
- Click Mark picked up.
- Tick what was actually collected and set the date. If the 3PL handed over a different bike, untick the planned one, type at least 4 characters of the VIN you actually got, choose its stop and click Add.
- Confirm. The bikes move to In transit and any orders become Dispatched — dealers get their “on its way” email automatically.
When it arrives
Each stop has its own button:
- Mark received — for our places and dealer drop-offs. Bikes land there.
- Mark delivered — for an order. Bikes become Sold (or Consignment at the dealer for a consignment order), the order becomes Delivered, and a dealer gets their “delivered” email.
If everything arrived on the same day, Everything arrived completes all stops at once. When the last stop is done the pick is Completed.
Cancel pick works only before it’s picked up. Nothing moves, and any orders keep their allocated bikes.
